Executive Assistant
About the Role
Detroit Justice Center (DJC) is seeking a highly organized and grounded Executive Assistant to support the Executive Director and the broader team. This is a trusted, high-responsibility role that combines executive support, writing and communications, internal coordination, and operational tasks that are essential to keeping our work moving forward.
This person will manage the Executive Director’s calendar and inbox, support the preparation of board materials, track follow-ups across key projects, and maintain an organized, welcoming office environment. They will also serve as a point of contact for incoming inquiries and provide reliable day-to-day administrative support.
This role is critical to helping DJC meet its mission and deliver transformational work to our clients and communities.
Key Responsibilities
Executive and Communications Support
- Manage the Executive Director’s calendar and scheduling priorities
- Monitor and triage the Executive Director’s inbox, drafting responses in their voice with accuracy and care
- Draft, edit, and proofread communications, including memos, talking points, board materials, and reports
- Create and update presentation decks for funder meetings, briefings, and events
- Prepare agendas, materials, and follow-up trackers for meetings
- Coordinate travel arrangements and logistics for the Executive Director and staff
- Manage the preparation and assembly of board packets. Track team submissions and take notes during board meetings when needed
Internal Operations and Office Logistics
- Serve as the first point of contact for general phone, email, mail, and visitor inquiries
- Maintain a clean, well-organized, and stocked office space. Liaise with vendors and service providers
- Coordinate meeting logistics such as room setup, supplies, printing, and hospitality needs
- Support new staff onboarding logistics in partnership with HR and Operations
- Coordinate basic travel and reimbursement logistics for staff
Administrative and Project Coordination
- Track internal deadlines, deliverables, and follow-ups for leadership
- Support special projects, events, and retreats as needed
- Maintain digital files, including contracts, policies, and board records
- Support light finance tasks such as logging payments, tracking reimbursements, and coordinating with the Finance Manager
- Identify and support small-scale systems that improve coordination and organization
Who You Are
- An excellent writer who can shift tone and write on behalf of leadership
- A strong, intuitive listener who can take in complex or high-level direction and translate it into clear, actionable steps
- Experienced in coordinating across staff, departments, and external partners
- Organized and detail-oriented, with at least 3–5 years of experience in admin, operations, or executive support
- Comfortable managing multiple priorities and following through with minimal supervision
- Skilled in tools like Google Workspace, Zoom, and presentation software (Slides, Canva, etc.)
- Emotionally intelligent, people-savvy, and grounded in strong communication and discretion
- Deeply aligned with DJC’s mission and committed to community-centered justice
Bonus if you have
- Experience in nonprofit, legal, or justice-oriented organizations
- Familiarity with project management or internal operations tools
